Position Description

Personal Assistant to the General Manager – Nirimba (Sunshine Coast), QLD

As a personal assistant (PA) you will work closely with the director to provide administrative support, usually on a one-to-one basis. You will help the director make the best use of time by dealing with secretarial and administrative tasks.

You’ll need extensive knowledge of the entertainment organisation in which you’ll work, though no previous experience is essential. You will need to know who key personnel are (both external and internal) and understand the organisation's aims and objectives.

You’ll be relied on heavily as a PA, trusted that work will be handled efficiently in the directors absence. Discretion and confidentiality are essential.

Responsibilities

As a PA, you will often act as the director's first point of contact with people from both inside and outside the organisation. Tasks are likely to include:

  • devising and maintaining office systems, including data management and filing;

  • arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during performances;

  • screening phone calls, enquiries and requests, and handling them when appropriate;

  • meeting and greeting visitors at all levels of seniority;

  • organising and maintaining diaries and making appointments;

  • dealing with incoming email and post, often corresponding on behalf of the manager;

  • carrying out background research and presenting findings;

  • producing documents, briefing papers, reports and presentations;

  • organising and attending meetings and ensuring the manager is well prepare;

  • liaising with clients, suppliers and other staff

 

In addition to supporting managers, their team and departments, you’ll also have your own personal workload and responsibilities:

  • carrying out specific projects and research;

  • taking on some of the manager's responsibilities and working more closely with management;

 

Salary

Depending on current experience and training required, an offer will be made. Additional benefits may include paid overseas trips and various entertainment industry perks (concert tickets, touring, backstage access etc)

 

Working hours

This is a part-time position, you will be required to work 20 hours per week.

 

It may be requested to work overtime during peak times, when deadlines are close, and potentially travel to events and touring.

 

Qualifications and Work Experience

A degree in business, management, administration, secretarial studies, marketing etc may increase your chances, however applications without a degree are still seriously considered as personal qualities, experience and general office skills are considered a high priority.

In addition to relevant experience and secretarial and administrative knowledge, you will need to show evidence of the following:

  • exceptional written and oral communication skills;

  • excellent word processing and IT skills, including knowledge of a range of software packages;

  • the ability to work under pressure and to tight deadlines;

  • good organisational and time management skills;

  • the ability to research, digest, analyse and present material clearly and concisely;

  • excellent interpersonal skills;

  • the ability to work on your own initiative;

  • honesty and reliability;

  • attention to detail;

  • flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines;

  • discretion and an understanding of confidentiality matters.

 

Professional development and Career prospects

Training takes place mainly on the job. We will provide an induction course, lasting a few days, to introduce you to the various areas of the business. We may also provide short courses and have one on one training days.

After gaining qualifications, skills and experience, progression can be rapid. You may work your way up to more senior posts with responsibility for junior staff.

PA work can provide a unique insight into how a business operates and how decisions are made at the highest levels. This opens up opportunities to become a supervisor or company manager.
